Event Sign-up Procedures

Regular Weekly Events
1. The sign-up deadline via the Chelsea online or phone system is 11:59 pm on the Wednesday preceding the event. (These sign-ups on Chelsea are used to determine the number of tee times the SMGA will be allotted for the event before any Wednesday morning tee times are assigned to other golfers on Friday morning.)
2. Cancellations must be made by 3:00 pm on the Saturday preceding the event to avoid the $8 entry fee.
3. Cancellations after 3:00 pm Saturday must be made with Jane by email, phone or in person. If you must cancel after 3:00 pm Saturday, you must notify Jane to avoid being charged Chelsea No-Show Chelsea points. Email is preferred smgawednesday@gmail.com.
4. Late Additions will be accommodated (on a space available basis) if added to the Additions Sheet on the SMGA bulletin board in the computer room by 3:00 pm on the Saturday preceding the event. Those on the Additions Sheet will be added, if possible, but participation is not guaranteed.
5. The Pro Shop Staff for that week will constitute the field after removing any cancellations made by 3:00 pm Saturday and including, when space is available, any Additions noted on the Additions Sheet by 3:00 pm Saturday.
6. Anyone missing the 3:00 pm Saturday deadline for Late Additions who wishes to play may advise the Event Coordinator for that week’s event of his desire to play. However, such late requests will only be added to the event to (a) fill out an incomplete foursome or (b) as a substitute for a late cancellation if the player’s handicap is a good fit in the flight (and team) with the opening.

Monthly Partner's Events
Members may sign up for partner events as a single or with a partner. Singles will be paired. If there is an odd number of singles, the last single entrant may not be placed in the event.
The sign-up deadline for Partners events is 11:59 pm on the Wednesday preceding the event.
Any member who missed the Wednesday sign up deadline may request to be a replacement partner. These requests must be made to the Partner’s Event Coordinator for that month. Replacement partners will receive the normal Chelsea e-mail on the Monday before the event if they have a tee time in the event.
After the Wednesday deadline, until 3 p.m. Saturday, a member whose partner withdraws may request a replacement partner by contacting the Partner Event Coordinator via email or phone. A player who requests a replacement partner prior to 10:00 am Sunday will have one provided for him if possible. If no replacement partner is available, the player may:
1) Cancel – all fees refunded.
2) Play as a marker without a replacement. Both prize fees and one lunch fee refunded.
3) Compete as a single with full handicap (Best Ball format only). The player who plays will be charged a prize fee and a lunch fee. The player who withdrew will have both his prize fee and lunch fee refunded.
NO REFUNDS FOR EITHER ENTRY OR LUNCH FEES WILL BE MADE FOR A CANCELLATION AFTER THE 3:00 PM SATURDAY DEADLINE EXCEPT AS FOLLOWS:
A player whose partner withdraws after the 3:00 pm Saturday deadline and requests a replacement partner will have one provided for him if possible. The replacement partner will be charged the entry fee and lunch fees. The partner who withdrew will have both fees refunded.
If no suitable replacement is available, both partners will be charged the entry and lunch fees.
The player whose partner withdrew may:
(1) play at his original tee time and hole assignment
(a) as a marker (with or without a guest) or
(b) for prize money without a partner (Best Ball format only with full handicap), and/or
(2) have lunch with or without a guest.

Major Events & Special Events
Event sign-up deadlines and substitution guidelines for Major and Special Events (e.g., Club Championship, Ryder Cup, and Javelina Cup) will be a part of the Event Announcement.
